Intelligent Vehicle Services Limited (‘we’ or ‘us’) collect, use and are responsible for certain personal information about you. a) Personal information from another source

We may receive information about you from other sources. This information tends to follow a Road Traffic Accident and includes:

  • Your name and address
  • Contact details (email address, telephone number etc)
  • Other named driver information
  • Your vehicle details
  • Accident circumstances
  • Third party insured information
  • Incident witness details

Any other information to enable us to deal with your claim or repair.

We will add this information to the information we hold about you for the following purposes:

  • To assist in the satisfactory completion of your claim and/or motor vehicle repairs.

b) Personal information you provide about third parties

If you give us information about another person, you confirm that the other person has appointed you to act on their behalf and agreed that you:

  • shall consent on their behalf to the processing of their personal data
  • shall receive any data protection notices on their behalf; and
  • shall consent on their behalf to the transfer of their personal data abroad.

c) Monitoring and recording communications

We may monitor communications such as emails and telephone calls for the following purposes:

  • As above, to assist in the satisfactory completion of your claim and/or motor vehicle repairs.

Who your information may be shared with?

We may share your information with:

  • Law enforcement agencies in connection with any investigation to help prevent unlawful activity
  • Motor Vehicle Repairers who are members of the IVS Ltd Repair Network.
  • Credit Hire Operators for claimants requiring an alternative vehicle in the event of a non-fault accident.
  • Access to a firm of Solicitors when support is required for a non-fault accident damages claim.

We will not share your personal information with any other 3rd parties without your permission.

How long your personal information will be kept

We will hold your personal information for the following periods:

  • Article 5 [e] of the GDPR states that personal data shall be kept in a form that permits identification of the individual for no longer than necessary for the purposes for which it was processed. Eg:

Employees’ personal information (staff files, performance appraisals, employment contracts etc) should be retained for no longer than 6 years after the individual has left the business.

Reasons we can collect and use your personal information

We rely on the following as the lawful basis on which we collect and use your personal information:
